Email Broadcasts

The RSFHS email template is available for downloading as a compressed file at rsfhs_email_template, if you need a copy.

When building a new message, open this file in Notepad (not Word), save it under a new file name (for example, rsfhs_email_20150915_ThePotteryofMataOrtiz.html), make your changes, and then save the file.

Below is a screenshot of the template showing which sections should not be changed, and placeholder text (in all caps, but your text should not be in all caps).

If your message will include an image, you must first upload the image to the Media Library, then find the WordPress filename for that image, and it’s dimensions, and plug them into the email template where indicated by the placeholder text. Below is a screenshot of where this image information is found.

After building your email message, you’re ready to broadcast it.


When preparing a new broadcast email message, always broadcast it to the Testing membershiop level until you’re satisfied the message is perfect.

Here are the steps to setting up an entirely new broadcast message. See further below for steps for re-braodcasting messages.

  1. Log into WordPress and go to Dashboard > Members > Email Broadcast.
  2. Click the Create New Broadcast button.
  3. Give your message a Subject.
  4. Make sure the HTML radio button is checked to Send As an HTML message.
  5. Copy your prepared HTML message from Notepad where you have been working on it, right-click and paste it into the Message body.
  6. Scroll down and check the Testing membership levels checkbox to receive the message.
  7. Click the Preview Message button.
  8. On the next page, scroll down and click the Send Message to Members button.
  9. Back on the Email Broadcast page, click the button to Send All Queued Messages to send immediately.

Here are the steps to re-broadcasting a message after tweaking it.

  1. Log into WordPress and go to Dashboard > Members > Email Broadcast.
  2. Click the subject link of the message you want to re-broadcast.
  3. Make sure the HTML radio button is checked to Send As an HTML message.
  4. If you’ve made changes to your copy of the email template, copy your prepared HTML message from Notepad where you have been working on it, right-click Select All and Delete the prior message, and right-click and paste your revised message into the Message body.
  5. Scroll down and check the Testing membership levels checkbox to receive the message.
  6. Click the Preview Message button.
  7. On the next page, scroll down and click the Send Message to Members button.
  8. Back on the Email Broadcast page, click the button to Send All Queued Messages to send immediately.

When you’re satisfied with your message and want to send it to certain membership levels, repeat the re-broadcasting steps, but this time click the checkboxes for whichever levels you want to send the message to, and proceed.
